The Client is required to review, agree to, and sign our standard Contract and Model Release prior to the scheduled photo shoot.
To secure your booking, a non-refundable retainer—based on the shoot type (details available on each package page)—must be paid in advance. The final balance is due on the day of the photo shoot.
Accepted payment methods include:
Cash
Cheque (must clear before booking is confirmed)
Online payment
Images and products will only be delivered once full payment has been received and any cheque has cleared.
Bundle Offers
Bundle packages require a £100 non-refundable retainer, with the remaining balance due at the first session.
If the bundle is cancelled before the first session, the retainer is forfeited and no further payment is required.
If the bundle is cancelled after one or more sessions, any remaining credit will be refunded after deducting:
Individual session retainers
Full-price value of completed sessions
Standard cost of any included, complimentary products
Refunds will only be issued if the standard cancellation policy has been followed (e.g., minimum 72 hours’ notice for cake smash sessions).
Example: Maternity & Baby Collection Bundle (£200) Includes: Maternity session, belly cast, newborn session, sitter session, and one complimentary mounted print per session.

A travel fee will apply to all locations beyond a 15-mile radius of Shelley Pixley Photography. This fee is currently £0.45 per mile (as of 01-09-14) and will be confirmed prior to the photo shoot. It is payable at the time of booking, alongside the initial retainer.
Please note: Travel expenses incurred due to late cancellations or late notice of illness are non-refundable.
If you choose to cancel your photo shoot, please note that the initial retainer is non-refundable. Cancellations must be made at least 48 hours in advance of the scheduled shoot (or 72 hours for cake smash sessions). Cancellations made after this window will result in the loss of your initial payment, which is non-transferable.
You may reschedule your session once, provided you give more than 48 hours’ notice (72 hours for cake smash) before the original shoot date, and the new date falls within 2 weeks of the originally agreed session.
Newborn Sessions Due to the unpredictable nature of newborns, I offer a little more flexibility. You may reschedule up to two times, but I ask that you notify me as soon as possible if there’s an issue. A minimum of 24 hours’ notice is required for any newborn rescheduling, and the new date must also be within 2 weeks of the original session.
All prices listed on the website exclude postage and packaging fees.
5a) Delivery Option Delivery charges are calculated as a percentage of the order total, with a minimum base rate applied. Orders may be shipped in multiple parcels. If delivery cannot be completed and the order is returned to the print lab(s), the Client will be responsible for covering the cost of re-delivery.
5b) Collection Option You will be notified when your order is ready for collection, along with available dates and times. If you miss two consecutive pre-arranged collection slots without providing prior notice, a fee equivalent to the applicable delivery rate will be charged. This fee must be paid before collection or delivery can be rescheduled. It is the Client’s responsibility to contact us to arrange a new collection time.
5c) Collection Timeframe & Storage Policy Orders must be collected within 45 days of notification. Failure to do so will result in the items being moved to storage and a storage fee of no less than 15% of the total order value will be applied. Stored items must be collected and the fee paid within an additional 45 days (90 days total from initial notification). If collection is not completed within this timeframe, the products will be permanently destroyed, and all payments made will be forfeited.
All creative works—including digital files, edits, printed materials, and likenesses, whether in full or partial form—remain the exclusive property of Shelley Pixley Photography. These works may be used by Shelley Pixley Photography for business-related purposes across any medium, location, quantity, and frequency. This includes, but is not limited to: social media platforms, the official business website, printed and digital publications, branded stationery, and all forms of marketing and promotional materials.
Shelley Pixley Photography retains the right to use images as outlined in the contractual Model Release, regardless of whether the Client purchases the images.
By participating in the session, the Client acknowledges and agrees that the Photographer may reproduce, publish (including online), exhibit, and otherwise use the images created—without specific identification of individuals or events—for the following purposes:
As portfolio samples to present to prospective clients
For educational or instructional use
For marketing, promotional, or competition display
The Client agrees to all terms outlined in the Copyright Section (6) regarding the use of image files.
If the Client wishes for their images to remain private and unused by either party, they must submit a written request within 72 hours of the shoot date. Without this request, any use of images on social media, websites, or other platforms requires prior written permission from Shelley Pixley Photography. By requesting such use, the Client also grants Shelley Pixley Photography permission to use the images in accordance with Copyright Section (6).
Image Restrictions
No printed or digital image may be altered in any way by the Client.
Screenshots of gallery images are strictly prohibited. Any unauthorized use or alteration will result in the gallery being disabled.
To reinstate access, a £25 administration fee must be paid. The gallery will then be reactivated for a maximum of 3 days to allow for product purchases.
Unauthorised Reproduction
Any reproduction of images—whether from prints or digital files—without a valid print release will incur a charge of £50 per image (as of 01-09-21). This fee must be paid in addition to the £25 administration fee to have the gallery reissued under the terms stated above.
Once your gallery goes live, you have 10 days to place your initial order and claim any included prints or products. We do not delay gallery uploads—once it's ready, it will be published immediately and your 10-day ordering window begins.
Placing an order within this timeframe activates your full 4-month gallery access.
If no order is placed within 10 days:
Your gallery will be automatically switched off and archived.
A £25 retrieval fee applies to reactivate it, which includes a 3-day extension of live access. This fee must be paid before retrieval.
Please note:
Galleries with no orders will be permanently deleted after 30 days.
Galleries with orders placed may be deleted after 6 months, and more commonly at the 1-year mark—this is at the discretion of the gallery host and not Shelley Pixley Photography.
Any included products or print credits must be claimed within the initial 10-day window. Unused credits will be forfeited.
Requests for advanced edits—such as colour adjustments, object removal, head or person swaps, selective colouring, or similar enhancements—will incur an additional fee. Charges are assessed on a case-by-case basis, depending on the complexity and time required. All fees must be paid in full prior to any editing work being carried out.
12) Custom DesignsRequests for bespoke design work—using images from your gallery or those supplied by the client—will incur a £10 design fee, payable upfront. This fee will be deducted from the final product cost at the time of ordering.
The use of any handheld or stationary image-capturing devices—including cameras, phones, or recording equipment—is strictly prohibited during your session. This policy is enforced without exception to preserve the integrity of the professional shoot.
All prices are subject to change at any time, at the sole discretion of Shelley Pixley Photography.
All cake smash sessions include a standard cake provided by Shelley Pixley Photography. Clients are welcome to supply their own cake; however, this will not reduce the package price, unless dietary requirements make it safer or more appropriate for the client to provide the cake.
In such cases, where prior discussion confirms that client-provided cake is necessary due to dietary needs, a £20 reduction will be applied to the session fee.
Important: Any dietary requirements must be disclosed and discussed in advance to ensure safety and suitability.
If you would like a more elaborate or bespoke cake for your session, please request a quote at least two weeks in advance to allow for planning and preparation.
If the client chooses to provide their own cake, it is done entirely at their own risk. Shelley Pixley Photography accepts no responsibility for any issues related to the cake’s condition, including but not limited to collapse, deterioration, or unsuitability for the session.
Payment Plans for Larger Orders
We’re pleased to offer flexible payment plans for larger orders to help make your investment more manageable.
Eligibility & Timing Payment plans must be requested prior to placing your order and within 10 days of your gallery going live. Please note: Payment plans are not available for retrieved or reactivated galleries.
Once requested, a formal agreement will be created outlining:
The total value of your order
The initial deposit
The minimum payment amount per instalment
The number of payments and due dates
We’re happy to tailor the schedule to suit your needs, and you’re welcome to pay more than the minimum or complete your plan early at any time.
This agreement must be signed before your order is placed with full selections from your gallery. Once the final payment is received, your order will be released to our print labs.
Late Payment Terms Late payments will incur a 2.5% fee on the outstanding balance every 2 days past the due date. If a payment is more than 7 days late, the order will be voided, and all payments made will be forfeited.
